The European Union Delegation To Egypt is looking for Archivist for the Finance, Contracts and Audit section.

Job definition

The Archivist, under the responsibility of the Finance, Contracts and Audit Head of Section and Deputy Head of Section, will perform the following tasks:

Functions and duties

  • Organization and maintenance of the archives of the Finance, Contracts and Audit Section as well as of the Operational Sections at the EU Delegation according to the European Commission’s instructions related to the document management.
  •  
  • Establish and update the inventory of the archived files and their location in archiving rooms.
  •  
  • Verify the closed files once a year in order to apply the CRL rules (Common Retention List): elimination (EL) or transfer to Historical Archives (TAH).
  •  
  • Transfer the original files to the European Commission Historical Archives in Brussels for long-term storage.
  •  
  • Update the Filing Plan.
  •  
  • Contact point in the EU Delegation for listing the tenders/proposals for procurement procedures launched by the EU Delegation.

Any Other Issues

  • Regular support to the EU Delegation Document Management Officer (DMO), backing up when necessary.
  •  
  • Replacement of secretary of Finance, Contracts and Audit section during her absence.
  •  
  • Other administrative tasks that may be requested in the interest of the service by the Head of Finance, Contracts and Audit Section or by the Deputy Head of Section.
